Job overview 

We’re hiring a Computer Operator who blends speed with accuracy: creating documents from scratch, merging and arranging complex files, handling graphic layout tasks, and delivering multiple jobs to PDF and Word on tight deadlines. The ideal candidate is organized, tech-savvy, design-aware, and absolutely discreet with client information.

Responsibilities

Document Production & Control

  • Create professional documents from scratch (letters, proposals, reports, forms, certificates).
  • Format, paginate, and style documents using MS Word (styles, TOC, headers/footers, cross-refs).
  • Merge and reorganize multiple files (Word, PDF, images) into clean final deliverables.
  • Convert, compress, and secure files (PDF/A, password protection, export presets).
  • Apply file-naming conventions, version control, and structured foldering.
  • Perform OCR on scans; clean up text; ensure print-ready quality.

Graphics & Layout

  • Design simple to intermediate layouts: flyers, letterheads, forms, social media creatives, and marketing one-pagers using CorelDRAW/Adobe Illustrator/Photoshop/Canva.
  • Prepare print-ready files (bleed, margins, CMYK) and web-optimized assets.

Forms & Survey Builds

  • Build and maintain forms using Jotform, Google Forms, Typeform (logic, validations, autoresponders).
  • Export responses to Google Sheets/Excel, clean data, and generate summary PDFs.

Conversions & Deliverables

  • Deliver final outputs in PDF and Word, with correct fonts, embedded assets, hyperlinks, and bookmarks.
  • Create editable templates and locked client-facing versions.

Workflow & Deadlines

  • Work under pressure to manage multiple tasks and strict deadlines.
  • Own a prioritized job queue; provide ETAs; escalate blockers early.
  • Meet daily turn-around KPIs for “same-day” and “next-day” jobs.

Confidentiality & Professionalism

  • Maintain strict confidentiality with sensitive client information and company records.
  • Follow NDAs, data-handling SOPs, and access controls.
  • Communicate clearly and professionally with internal stakeholders.

IT & Social Media Support (Nice-to-Have)

  • Basic troubleshooting (printers/scanners, drivers, fonts, PDF tools).
  • Schedule and post social content; resize creatives for platforms; basic captioning.

Requirements 

  • Strong MS Word/Excel/PowerPoint (styles, TOC, mail merge, track changes).
  • PDF tools: Adobe Acrobat/DC or equivalent (combine, OCR, redact, optimize, secure).
  • Design tools: CorelDRAW or Adobe Illustrator/Photoshop; Canva competence.
  • Typing speed: 45+ WPM with high accuracy.
  • Advanced document formatting (styles, lists, page/section breaks, numbering).
  • Experience building forms in Jotform (or Google Forms/Typeform) with logic and validations.
  • Excellent file organizationnaming conventions, and version control discipline.
  • Time management and the ability to juggle multiple deadlines without quality drops.
  • Discretion, integrity, and impeccable attention to detail.

Nice-to-Have (Pluses)

  • Experience with mail merge, bulk certificates, or label generation.
  • Familiarity with Google Workspace and SharePoint/OneDrive file sharing.
  • Basic knowledge of brand guidelines and print specs.
  • Customer-service mindset and a calm, solutions-first attitude.

Performance & Growth

  • Probation: 3 months.
  • Performance Review: Eligible increment after demonstrated performance and delivery within the shortest reasonable period (quality, speed, zero-error rate, reliability).
  • KPIs: Turnaround time, error rate, file hygiene, adherence to SOPs, confidentiality compliance.

Screening (Shortlisted Candidates)

  • 30–45 min skills test:
  • Format a messy Word document (styles/TOC).
  • Merge files into a clean, bookmarked PDF with OCR.
  • Design a simple A4 flyer from a brief.
  • Build a short Jotform with conditional logic and autoresponder.
  • Reference checks and confidentiality agreement (NDA) required before offer.
