KNH was established as a State Corporation in 1987 through Legal Notice No. 109 of 6th April 1987 as amended by the KNH Amendment Order 2021 with the following mandate:

  • To receive patients on referral from other hospitals or institutions within or outside Kenya for specialized health care;
  • To provide facilities for medical education for the University of Nairobi and for research either directly or through other co-operating health institutions;
  •  To provide facilities for education and training in nursing and other health and allied institutions;
  • To participate, as a national referral hospital, in national health planning

Job Overview 

An officer at this level will be responsible to Chief Principal, Health Information in the provision of Health Records and Information Services in the Hospital.

Job Description 

Duties and Responsibilities

  • Coordinate and review health records and information management policies and guidelines;
  • Develop specifications for health record supplies to facilitate procurement;
  • Provide technical and professional guidance on health records and information management;
  • Participate in planning and budgeting for the health records management;
  • Coordinating training and development of staff with the department;
  • Oversee the execution of the approved work plans and budgets in the department;
  • Ensure Maintenance of safety and confidentiality of records and information;
  • Participate in succession planning by coaching and mentorship of staff in the department;
  • Prepare and submit monthly and annual departmental performance reports;
  • Developing health data quality audit tools;
  • Develop health records monitoring and evaluation tools;
  • Participate in the review of health records and information systems;
  • Design medical and surgical indices;
  • Providing advice on disclosure, confidentiality, security and exchange of health records and information;
  • Develop health records standard operating procedures (sops);
  • Supervise conduct of staff performance appraisal in health records and information department;
  • Facilitating design and implementation of medical records forms;
  • Train, supervise, guide and mentor of staff and trainees deployed in the department;
  • Analyze health information data and compile reports
  • Disseminate clinical data reports
  • Coordinate quality management systems and occupational health safety audits in the department;
  • Participate in various departmental and hospital multidisciplinary committee meetings;)
  • Prepare departmental budget and procurement plan;
  • Monitor the implementation of procurement plan in line with set laws; and
  • Participate in departmental Technical Evaluation Committees.

Qualifications and Experience

  • Master in any of the following disciplines; Health Records and Information Management, Health Informatics, Information Science; Information Technology or equivalent qualification from a recognized institution;
  • Bachelor in Health Records and Information Management or equivalent qualification from a recognized institution;
  • Registered with a relevant professional body;
  • Leadership/Management course lasting not less than four (4) weeks from a recognized institution; and
  • Minimum eight (8) years relevant experience, with not less than three (3) years as a Principal Health Information Officer or in a comparable position.
